Operations Manager

Home Based

6 hours per week

£15 per hour


Kent is home to some of the country’s most prestigious selective grammar schools, and AIM Kent believes that every child should have the opportunity to access them with confidence, regardless of family income.

For many families, however, the high cost of 11+ tuition places quality preparation out of reach. AIM Kent exists to change that.


We are a small, local charity that provides free 11+ preparation classes to children from low-income families. Our programme helps pupils build the academic skills and confidence needed to succeed in the Kent Test and thrive in selective education.


Founded in Tunbridge Wells in 2015, AIM Kent has since expanded to Tonbridge and Sevenoaks, offering small-group tuition delivered by qualified teachers. Each class is designed to support bright, motivated pupils who would otherwise miss out on private tutoring opportunities.


The Role


The Operations Manager plays a vital role in the smooth running and continued growth of AIM Kent. This is a varied, hands-on position ideal for someone who is highly organised, proactive, and passionate about educational equality.


You’ll be responsible for overseeing the day-to-day operations of our 11+ programme, coordinating between schools, tutors, volunteers, and parents to ensure everything runs seamlessly.


Key Responsibilities


Programme Coordination


• Recruit each new Year 5 cohort by developing strong relationships with local primary schools and actively engaging with the wider community.

• Onboard pupils into the programme, ensuring all applications are processed and all due diligence procedures are followed.

• Maintain student database on our cloud based project management system (airtable)

• Manage weekly 11+ classes, including attendance tracking, class lists, and scheduling (remotely).

• Liaise with partner schools where classes are hosted, ensuring smooth communication and logistics.

• Communicate with tutors to confirm lesson plans, arrangements, and pupil updates.

• Oversee communication with parents through Spond, ensuring timetables, reminders, and updates are clear and timely.


Events and Exams


• Organise and coordinate three mock exams per year, including:

o Venue booking and setup

o Managing ticket sales and registrations

o Overseeing volunteers and ensuring smooth running on the day


Volunteer Coordination


• Recruit, brief, and coordinate volunteers for weekly classes and mock exams.

• Ensure all volunteers are DBS-checked, supported, and have clear guidance on their roles.

• Maintain volunteer records and communicate regularly with the volunteer team.


Fundraising


• Research potential funding opportunities from trusts, foundations, and local organisations

• Prepare and produce grant applications to support AIM Kent’s ongoing operations and growth.



Marketing, Communications & Outreach


• Raise awareness of AIM Kent by managing our social media presence and creating engaging posts.

• Design adverts, posters, and flyers using Canva.

• Manage and update the AIM Kent website, ensuring information is accurate and up to date.

• Build relationships with local schools and community organisations to promote the programme and reach eligible families.

Administration & Compliance

• Ensure all risk assessments, safeguarding documents, and operational policies are regularly reviewed and up to date.

• Maintain accurate records of attendance, communications, and programme data for reporting and funding purposes.


Person Specification


Essential Skills & Attributes:

• Excellent organisational and communication skills

• Confident using digital tools (Canva, Spond, social media platforms, Google Workspace, and basic website editors such as WordPress or Wix)

• Ability to build strong relationships with schools, parents, tutors, and volunteers

• A proactive, “can-do” attitude and the ability to multitask in a small but busy charity environment

• Passion for educational equality and supporting children to reach their full potential


Desirable:


• Experience in education, charity, or community programme management

• Understanding of the Kent 11+ process


Role Details

• Position: Operations Manager (part-time 6 hours a week)

• Location: Home based

• Reports to: AIM Kent Trustees

• £15 per hour. 

• This role is a freelance, self employed position
